Board Elections - Voting Process

  1. Every year, in March, Fairway Springs HOA holds its Annual Meeting. 

  2. At this meeting three (3) Board positions must be filled

Candidates wishing to serve should read the information on the Candidates page.

ByLaws Section 2.  Election of directors.  Election to the Board of Directors shall be by secret written ballot. At such election, the members or their proxies may cast, in respect to each vacancy, as many votes as they are entitled to exercise under the provisions of the declaration. The persons receiving the largest number of votes shall be elected. Cumulative voting is not permitted.

Candidates are running for the right to sit on the Board and NOT for a specific role or position.  That will come at the Organization meeting.

ByLaws Section 9. Voting.  Except as otherwise provided in the declaration of covenants, conditions and restrictions or articles of incorporation, all motions, resolutions, and actions of the association shall be passed by a majority of the votes cast in person or by proxy, without regard to classes of membership.

 

ByLaws Section 10. Proxies.  A member may appoint any other member, any owner of any lot, the developer, or the manager as a proxy. Any proxy must be filed with the secretary before the appointed time of each meeting.

HOW TO VOTE.  

You will receive, in the mail, via USPS, an envelope containing the following:

  1. Candidate profiles

  2. A voting form (The secret ballot)

  3. A proxy form (You MUST return this even if you choose not to vote)

  4. An envelope for your secret ballot

  5. A return/reply envelope for the whole package

When you receive your voting materials, follow these steps:

  1. Cast your vote (on the secret ballot) for the 3 people you would like to see on the Board

  2. Place that vote (secret ballot) inside the secret ballot envelope - DO NOT WRITE ON THIS ENVELOPE

  3. Complete, date and sign the proxy form

    1. -OR- you may choose to email this Proxy to Sentry at vconner@sentrymgt.com​

  4. Place both the proxy form (if not emailed) AND the secret ballot envelope inside the other (outer) envelope

  5. Write your Name and Address and Sign the outside of the outer envelope

  6. Submit completed package in any of the following ways (ensuring arrival in time):

    1. Bring to the Annual meeting March 29th, 2023 prior to 6.30pm

    2. Place in black mailbox at front of Clubhouse​

    3. Place in drop box at Sentry's offices (7615 Little Road

    4. Mail to the address on the outer envelope
